Our client, a top international Pharmaceutical/Healthcare firm, is currently seeking a Promotional Materials Approval Process Specialist for a 12 month contract position with the opportunity for an extension. The position is located in Fort Worth, TX.

The hours for this position are as follows

  • Monday to Friday 8:00am-5:00pm

Your responsibilities will include (but not limited to):

  • Working with some independence and limited supervision, responsible for assisting the Head, Materials Approval Process (MAP) Operations, and MAP Operations team in driving the standard setting, planning, coordination and processing of promotional materials for the US, Canada, and Global Vision Care, and Surgical divisions to ensure timely approval of quality branded, unbranded, disease state and sales training materials in compliance with applicable regulatory standards and company policies.

  • The MAP Specialist assists in acting as a centralized knowledge hub for material approval and provides guidance to project owners/agencies/reviewer on the process to streamline material review.

  • The MAP Compliance Specialist will collaborate with Brand to set prioritization of review to manage review priorities against business needs, assist in triage of materials for appropriate review and provides guidance on submission readiness.

  • The MAP Specialist also leads Material Approval Process (MAP) review meetings ensuring all review requirements and processes are followed, effective time management, and promotes collaborative problem-solving and teamwork.

  • Prepares pertinent approval documentation and ensures distribution of the materials submitted to reviewers for compliance review.

  • Reviews materials submitted for review to ensure readiness according to established criteria and templates as applicable (e.g. proper referencing and annotations).

  • Tracks all submissions to ensure task completion and for monthly reporting purposes (metrics) to senior management. Ensures effective implementation and use of any electronic review tool.

  • Assists in identifying team/process/system issues and assists team to address collaboratively, recommending systemic process improvements. Assists in training stakeholders on MAP.

  • Assists with special projects as needed (e.g. development of MAP training guidance and reference materials).

  • Assists MAP Operations Manager with the management of electronic review system, MAP review meeting schedule, maintenance of training records, and perform necessary audits to ensure compliance with company policies.

  • Assists MAP Specialists with oversight and monitoring of the MAP review process, key reports, and efficient flow of promotional materials through electronic review system.

  • Assists Compliance Proof editor with review and approval of final materials to ensure all requested changes were implemented by the agency or project manager.

  • Remain current on all compliance requirements and processes as they pertain to promotional practices and guidelines established by the corporation.

Qualifications:

  1. BA/BSc (or equivalent) with emphasis in business, advertising, marketing or related field. Prior regulatory or compliance training is an asset but not required.

  2. 2-3 years’ experience in advertising and/or marketing with promotional material development or review processes

  3. 3-5 years’ experience in project management with demonstrated ability in areas of communication across diverse business groups, meeting facilitation, organizational skills, proactive problem solving and influencing in a matrixed organization

  4. Experience working with multi-disciplinary business-oriented teams in a fast-paced environment

  5. Strong verbal and written communication skills. Proficiency with MS Office applications.
